Cancellation Policy

How cancellations, changes and refunds are handled for tours, hotel bookings, vehicle rentals, fixed departures, city tours, trekking support, store orders and customized travel services with Chaqon Global Tours.

At Chaqon Global Tours, we understand that travel plans can change due to personal reasons, weather conditions, road closures, health issues, flight changes or other unexpected situations.

This Cancellation Policy explains how cancellations, changes and refunds are handled across our travel services. By booking any service with Chaqon Global Tours, you agree to the terms mentioned below.

1. General

General Cancellation Policy

  • Customers must inform Chaqon Global Tours as soon as possible if they want to cancel or change a booking.
  • Cancellation requests should be sent by email to hello@chaqontours.com.
  • The cancellation date will be counted from the day we receive your written cancellation request.
2. Tour Packages

Tour Package Cancellation

For private tours, family tours, customized trips, cultural tours, adventure tours, trekking tours and Pakistan tour packages, cancellation terms depend on how close to the trip the request is received.

15 days or more before the tripPartial refund may be provided after deducting booking costs, hotel advance payments, permits, transport arrangements, guide reservations and administrative charges.
7 to 14 days before the tripPartial refund may be possible depending on supplier policies and already confirmed services.
Less than 7 days before the tripRefunds may not be available because hotels, transport, guides, permits and other services are usually already confirmed.
After the trip has startedNo refund for unused services, missed activities, meals, hotel nights, transport or early return.
3. Fixed Departures

Fixed Departure Cancellation

Fixed departure tours are scheduled group tours with confirmed dates. If the customer cancels after booking, cancellation charges may apply, and last-minute cancellation may be non-refundable due to limited seats.

  • If Chaqon Global Tours cancels a fixed departure due to low participation, road closure, security issue, extreme weather or operational reasons, customers may be offered a new travel date, an alternative tour, or a refund after deducting any non-refundable third-party charges.
4. Hotels

Hotel Booking Cancellation

Hotel cancellation depends on the policy of the hotel or guest house. Some hotels allow free cancellation before a certain date, while others charge cancellation fees or keep advance payments. We will share the hotel's cancellation terms wherever possible, and refunds depend on the hotel's own policy.

5. Vehicles

Vehicle Rental Cancellation

  • Cancellation before driver/vehicle dispatch may be partially refundable.
  • If the vehicle or driver has already been arranged or dispatched, charges may apply.
  • No refund may be available for same-day cancellation, late arrival, no-show or cancellation after the ride/trip has started.
6. Trekking & Adventure

Trekking, Mountaineering and Adventure Services

For trekking support, guides, porters, permits, camping arrangements, equipment and expedition support, cancellation charges may apply because many services are arranged in advance. Permit fees, guide/porter advance payments, equipment reservations, logistics and supplier payments may be non-refundable.

7. Store & Gear

Store Product Orders and Gear Requests

  • Cancellation is allowed before the order is processed or dispatched.
  • Once an item is dispatched, picked up, rented or used, cancellation may not be accepted.
  • Damaged, used or returned rental gear may be subject to inspection and additional charges.
8. No-Show

No-Show Policy

No refund for no-shows

If the customer does not arrive on the scheduled date, does not answer calls/messages, or fails to join the tour/service without prior notice, it will be treated as a no-show and no refund will be provided.

9. Weather & Roads

Weather, Road Closures and Natural Conditions

Travel in Northern Pakistan, Chitral, Kalash, Hunza, Skardu, Fairy Meadows, Shandur and mountain regions may be affected by weather, landslides, snow, road closures, flight cancellations or government restrictions. If a trip is affected, we will try to provide the best possible alternative arrangement. Refunds for already used or non-refundable services may not be available.

10. Changes

Changes Instead of Cancellation

Where possible, customers may request to change travel date, destination, hotel, vehicle, number of travelers or tour plan. Changes are subject to availability and may include additional charges.

11. Refunds

Refund Processing

Approved refunds will be processed after reviewing booking details, cancellation date, supplier policies, hotel/transport/guide charges, payment method and non-refundable costs. Refund processing time may vary depending on the payment method and supplier response time.

12. Non-Refundable

Non-Refundable Charges

  • Hotel advance payments.
  • Transport advance payments.
  • Permit fees.
  • Guide/porter advance payments.
  • Ticketing charges.
  • Bank/payment transfer charges.
  • Administrative charges.
  • Used services.
  • Customized arrangements.
  • Last-minute bookings.
  • Third-party supplier costs.
13. Company-Initiated

Company-Initiated Cancellation

If Chaqon Global Tours cancels a booking due to operational reasons, safety concerns, road closures, weather or force majeure, we may offer rescheduling, an alternative service, travel credit, or a refund after deducting non-refundable third-party charges.
